Presenter Tips


Please remember that conference participation is more than “I presented my paper.” Your fellow conference presenters will appreciate you joining their sessions, and providing thoughtful feedback that will assist them in developing their papers, their general scholarship, and their classroom/presentation performance. (“Congratulations” are always appreciated too!!)


For those who have more than one presentation scheduled, you are responsible for identifying any time conflicts and reporting it to the conference organizers prior to August 1st, so that corrections can be made.
We strongly encourage you to make your session interactive.
Online feedback (chatrooms) is planned, still in development. (Check back later on this, please!)

Session Types / Time Limits
  • Papers: 25 minutes (20 + Q&A), 20-minute video
  • Workshops: 60 minutes (50 + Q&A), 50-minute video
  • Colloquia/Symposia: 90 minutes (80 + Q&A), 80-minute video
  • Poster presentations (2 hours), Pinned/Taped Display*, 6 page E-poster [see poster info, Link] Info to follow soon!


Onsite (In-Person) Presentations
Onsite presenters present in person at the schedule time at the venue. However, all onsite presenters must also provide pre-recorded videos for our online participants. The Onsite (In Person) presenters’ videos will be played on the online conference platform at the same time as their onsite presentations. See guidelines for Online Presentation and Video Production and Submission, below.
Please note that computers at Daejeon Convention Center will be equipped with a Windows computer featuring a recent version of Microsoft Office (a Korean version, so be sure your Powerpoint doesn’t have any double-byte characters from your home language – even a [space] can appear very differently).
  • Do not expect to plug a different computer into the beam projector and make it work.
  • Please bring your display materials on a USB memory stick (thumbdrive) or similar. Internet speeds in large convention centers are notoriously erratic.
  • Please do not expect to download your file(s) during your session, or prior, as others are also using the room.
  • Conference organizers are not supporting any Zoom activity in the Concurrent Sessions (paper, workshop, symposium) at the conference face-to-face venue.
  • No laser-pointers or other ancillary devices are available. All rooms include a microphone system. If your presentation requires audio for the computer presentation, you must inform us at asiatefl2023@asiatefl.org before August 1st. Include “Presentation (submission #)” in the subject line.
  • As a courtesy to all, presenters should arrive and stay in their presentation room 5 minutes before that “block” of sessions (usually two or three concurrent sessions in one “block.”


Online Presentation
As a “hybrid conference,” all presentations can be viewed online. This means that all onsite presenters must also submit a pre-recorded video, just as our online presenters do. Pre-recorded videos are displayed according to a schedule, and the videos for In-Person sessions will be played at the time of the Onsite session.


Video Production
Key requirements overview:
  • Videos should be recorded and submitted in a typical video format and resolution (MP4, MPG, M4V, MOV, AVI).
  • Videos should strictly follow the duration limit that is specified. Videos that exceed the limit may be automatically be trimmed or excluded from the conference.
  • Speech should be clearly audible and text should be readable.
  • The official language of the AsiaTEFL Conference is English.

Recommended practices:
  • Opening title. It is recommended to include the title at the start of the video.
  • Third-party material and copyright. It is very important that you have the rights to use all the material that is contained in your submission, including music, video, images, etc.
  • The AsiaTEFL2023 Conference banner or backdrop should be available on an opening page.
  • Display and Viewing Comfort. Pay attention to details such as flashing lights, unsteady camera, and loud sounds which may cause viewers discomfort.
  • Speaker + Display. While “voice-over” presentation without seeing the presenter, only the display (e.g., Powerpoint) is not improper, most conference participants would prefer seeing the presenter as well as the display. Typical presentation software (Powerpoint, Keynote) allow recording presentations with microphone audio, but picture-in-picture (including a speaker view) is often better. You can either separately capture the speaker’s video and insert it using video editing software, or you can use Zoom, or similar software to directly record a picture-in-picture video. Some software, e.g. Flashback (free version too!) allows you to resize the image of the camera “on the fly” while recording, thus you can make the presenter’s image larger or smaller against the main display (Powerpoint slide, etc).
  • Appropriacy of content. Please ensure that content is appropriate in terms of rights and taste, does not contain inappropriate language, viewpoints or imagery and is unlikely to cause offence to any individuals or groups either present at the conference or beyond.


Video Production
  • Upload your video at https://asiatefl2023videosubmission.weebly.com after you have successfully completed video production.
  • You will need to complete the Copyright Acceptance form prior to submission.
  • The file length should comply with the session guidelines listed above, not including the Q&A period.
  • File format: all major videos formats are acceptable, including mpg, mp4, wmv, and mov. Note that some formats (e.g., avi) may result in considerably-larger file sizes.
  • Filename should be your session ID number immediately followed by the surname (family name) of the lead presenter, e.g., 203Jung.mpg (of course the file extension will be based on the type of file format you saved the recording in).
  • Video upload must be completed by July 20, 2023 KST (UTC +9:00).


Upload / Sharing (Terms & Conditions)
Before you upload your video presentation file, you must accept the following terms and conditions. The full copyright text is available at the upload site.
  • The author(s) retain copyright of the video but agree to allow the AsiaTEFL 2023 conference organizer to collect, store and display their videos exclusively for the AsiaTEFL2023 conference’s registered attendees. Videos will not be used for any other purposes.
  • AsiaTEFL 2023 conference shall not be liable for any infringement on a third party's copyrights and other intellectual rights.
